The Ministry of Education requires centres to confirm their child, attendance and enrolment data is correct each month. Administrators can review their service's records before confirming by reviewing the Center Funding Report and the Invalid Child Data report.
Please note: ELI data is automatically sent to the ministry every day.
Once a month, Discover will prompt you on your dashboard to submit your Eli confirmation for the month. If admins have reviewed the data and are happy that the data is as accurate as it can be, they will navigate to:
- Ministry > Eli Confirmations tab,
- Admins can select the month
- Click confirm to submit
Please note: If you later find that you made a mistake, you can edit the relevant information and Discover will send the corrected information to ELI.
Considerations:
Please see below if you have received an email from the ELI Data Quality Team with the subject line
"ACTION REQUIRED: Check and Update Incomplete Child Information, "We are contacting your service in regards to Data Quality issues involving missing child Ethnicities and/or Gender."
The ELI Data Quality Team is gathering more information. The suggestion here is that on the list of Children shared in the email there might be a selection of Not Stated under fields Ethnicity & Languages, although this selection is still valid.
If the Parents have provided the details regarding these fields, the Child Profile needs to be updated accordingly. If the Parents/Guardians have not provided these details and the Centre or Parents don't want to add those details in, the ELI Data Quality Team needs to be informed via Eli.Dataquality@education.govt.nz.
The ELI Data Quality Team suggests the following actions:
1. Error: Child Gender unknown: The children listed attended your service during the ECE Return Week have no gender information.
Action Required: Please update the child gender information in your Student Management System (SMS) and resend via SMS.
2. Error: Child Ethnicity not stated: The children listed attended your service during the ECE Return Week have the first ethnicity as “Not Stated”.
Action Required: Please confirm the child ethnicity information with the Parents / Guardians, and update them accordingly. If children’s ethnicity is to be ‘Not Stated’, please send an email to Eli.Dataquality@education.govt.nz to confirm.
3: Error: Child Ethnicity unknown: The children listed attended your service during the ECE Return Week have no Ethnicity.
Action Required: Please enter the child ethnicity and resend each child’s ethnicity information via SMS.
Reports
There are several reports that can assist in checking Child data across the centre.
1. Child Details Report.
Navigate to Reports > Children Report > Child Details Report.
From here, we can check on the data contained in the Child Profiles and make updates wherever necessary. If in certain cases the Parents have opted not to share the information then you can put across a reply to the ELI Data Quality Team accordingly.
2. Child Analysis Report
Navigate to Reports > Analysis Reports > Child Analysis Report.
