Check your Invoicing Settings:
Go to Centre Settings > Scroll Down to Invoice Settings
You onboarding specialist will guide you through the settings, to help you set up your Invoices & Statements as you would like them to work.
To check what your families will be invoiced, Go to Reports > Finance Reports >Invoice Preview:
Then go to Bulk Actions > Select Action Dropdown > Enrolment Invoices
1. Enter the dates you would like reflected in the invoice next to 'Children Enrolled Between'.
2. Filtering options allow you to refine by the status of the child and/or their room.
3. Clicking >> will select all children to invoice, or alternatively, clicking on the name of the child, then '>' will allow you to select individual children.
4. Specify whether you would like to send the emails now, or delay.
5. Click 'Create Enrolment Invoices'.
Note: If you are using automatic invoicing, creating a manual invoice will increase the balance of the next automatic invoice. For this reason we do not recommend using the two methods in conjunction.
Invoice Queue:
You will find this under Centre > Invoice Queue
When invoices are sent via Discover, they are put into a queue along with all other invoices in the platform and Discover sends them out to customers. They are deliberately distributed over a period of time to reduce the chance of being put into spam folders.
Please be patient while waiting for invoices - they are normally processed and distributed within 2-3 hours of sending. If a billpayer is in the 'Invoices Being Processed Right Now' for more than 24 hours it means there may be something wrong with their email and we may be unable to send. We automatically retry these every 24 hours.
Once they begin to send, if you refresh the screen, you will see the list change.
Administrators are able to see which invoices are included in the next schedule run. They are also able to
- Send Scheduled Invoices Now
- Remove Scheduled Invoices From Queue
