Centre Funding Report

The RS7 process submits the centre data as displayed in the Centre Funding Report. 
Checking this report for the required funding period will ensure you don’t submit missing Attendance and/or Staffing data.

The Centre Funding report can be found in Reports > Finance Reports > Ministry of Education funding.

This report should be generated for the funding period you are submitting for, or your data may not look correct, particularly with regard to the total amount of discretionary hours used. Discretionary Hours are 80 hours per funding period, please see the section below titled ‘Discretionary Hours’ for more information.

Several filters are available to assist you:

Forecast Attendance: Checking this box will have Discover assume children will attend their future enrolled sessions when generating the report. Please note, the further out the end date is set, the more likely this data will be inaccurate due to 3yo birthdays and children leaving the centre.
 

Ignore Get Cutover Date: If your centre has transferred to Discover in the middle of a funding cycle, there will be booking and attendance data imported from your old software that was not originally recorded in Discover. Checking this box will draw this data in to the report, however, this should only be used for reference as it is not guaranteed that this data will be completely accurate. 


Show Funding $: If you would like to anticipate funding amounts, you may select your percentage from this drop down, or select 'Automatic'. If you select Automatic, the data will be drawn from the Default Funding Rate settings in the Ministry of Education tab in the main menu.

Once you have selected your filters, click 'Get Report'.

The first section of the report will display an overview of the funding period.

Days: Refers to the number of days the service was open per the license (excluding any holidays entered in the Centre Calendar)

Roster: Number of days Staff shift data has been entered in to the roster.


Underneath this table, you data will be presented by day (or weekly if selected in the filters).

You may see red or yellow highlighted sections:


Red sections indicate that there may be an issue with a child’s hours for that day. 

Yellow sections indicate there may be a compliance breach on your roster. 

If you see either of these flags, the corresponding date on the left-hand side of the report can be clicked on to view further information about the day.

If there is an issue with attendance data, the tables generated by clicking on the date will clearly display which child the issue is associated with.

Navigate to Attendance via the main menu and select the relevant day to amend the data as needed.

In addition to highlighting any potential issues with attendance data, Discover will break down funding information by age group, with separate tables for children under 2, children 2 and over, and children 3 and over. Funded hours can be viewed to the right side of the table, with a total visible at the bottom.

If there is an issue with the Roster, the table generated by clicking on the date will display the day in 15-minute increments. The number of children present and minimum staffing requirements are shown for each block of time. The time period needing correcting will be highlighted. 
Once you have determined the time and correct ratio, navigate to the Roster via the main menu to correct.


Please note: The Staff Hours Required column reflects attended hours, therefore, the Staff % column reflects the percentage of those attended hours, as opposed to booked hours. For this reason, the Roster Sheet may show a different % total for the day, as it does not take into account the attended hours for children.
