When viewing the Staff Roster through the Roster Sheet and Scheduler tabs, administrators have several options to view staff ratio requirements and determine if the centre is meeting the Ministry requirements for compliance.
The staff ratio is calculated based on the bookings for children within the Discover system and the staff you have assigned a rostered shift for.
You might see the ratio change during the day, this might be because someone has changed the booking or marked a child as Absent or on Holiday - thus altering the ratio requirements.
Along the left-hand side of the Roster Sheet, or at the top of the Roster Scheduler, times will be displayed and will change colour to reflect staff ratio requirements at the time slot level.
There are a number of options for how detailed you would prefer these warnings to appear.
Navigate to Centre Settings > Centre Details tab > Roster Settings section.
Next to the ECE 50% Ratio Warning, select a preference in the dropdown.
Colour Codes
Hovering over the time slot in the Roster Sheet/Scheduler will provide you with information about the various rules and what the values are for that time slot.
Display Red if Minimum 1 ECE Staff is not present per 50 Children.
Display Red if Minimum 1 First Aid Qualified Staff is not present per 50 Children.
Display Red if MOE Ratio is not Satisfied.
Display Yellow if ECE, First Aid, and MOE Ratio are satisfied but Custom Ratio is not Satisfied – In this case, Do not Display ECE Ratio And Description on Hover.
Display Yellow Italics if First Aid and MOE Ratio is satisfied but ECE is tripped and Custom Ratio is not Satisfied (But still fulfils the minimum requirement of 1 ECE staff per 50 children)
Display Green if ECE, First Aid, and MOE Ratio and Custom Ratio are Satisfied.
Display Green Italics if First Aid, MOE Ratio and Custom Ratio is satisfied but ECE is tripped (But still fulfils the minimum requirement of 1 ECE staff per 50 children)
Display Bold Green if MOE Ratio and Custom Ratio is Over Satisfied and ECE and First Aid is also satisfied with the minimum requirement
Display Bold Green Italics if First Aid, MOE Ratio and Custom Ratio is Over satisfied but ECE is tripped (But still fulfils the minimum requirement of 1 ECE staff per 50 children)
Rostering views to assist with Ratios
In the roster sheet, hover over the calculator icon to either choose from Rostered Teachers or Required Teachers.
Rostered Teachers
Selecting 'Rostered Teachers' will show the number of Staff rostered on and the number of staff Over or Under the requirement on the left-side of the roster sheet.
Required Teachers
Selecting Required Teachers will show the number of registered teachers required per time segment, as well as how many registered vs unregistered teachers have been rostered on at that time.
Ratio Widget
Toggling the scale icon at the top of the Roster Sheet will display the ratio widget with further details on the right side of the sheet.
