Rostering: Roster Scheduler

Roster Scheduler enables administrators to add, edit or delete rostered tasks through a graphical view. 



To navigate, administrators will need to:

  1. Log into their Discover platform
  2. Along the menu to the left hand side of the screen, select Staff Roster
  3. Within this feature, along to the menu to the top of the screen, administrators will select Roster Scheduler


How to Use Roster Sheet



1. Day/Date:Using the Calendar to select the Day and Date you are Add or Editing data on.

 


2. Registered Staff Percentage: This number will increase based on the rostering meeting the registered staff percentage required based on the child bookings for that day.

 



3. Understanding the Ministry and Room Ratio Requirements: hover your mouse to the area with time increments. Colours will depend on your ratio, see below:

Green - if your roster meets the Ministry and room ratio.

Orange - if your roster meets the Ministry ratio for funding purposes, but out of ratio in a particular room. *For Discover to be able to count how many staff are in a particular room you need to assign a specific room to specific tasks.

Red - if your roster meets the Ministry ratio and don't have enough staff  at a given time.




4. Toggling:

When selecting Toggle Staff, this will remove any team members without assigned tasks from the view.




When selecting Toggle Group, the grouping name will be removed from the staff list.



5. Please Select Task: In this list, administrators will be able to select the task they are wanting to assign to a team member.




6. Staff Qualifications:

Red: This team member has expired qualifications and requires to update or provide evidence to the admin team who can then update within the Discover platform.



Yellow: This staff member has qualifications that are due to expire soon. 



Blue: This team member is either unqualified or holds qualifications within Discover that are not expired or due to expire within the next 4weeks.

Add Task/Shift

From within this screen, administrators will be able to add shifts/tasks as follows:

  1. Within Roster Scheduler, at the top right under 'Please Select Task', select the type of shift to be applied.
  2. Using your cursor, click and drag to apply a task to a team member and release the cursor once completed.
  3. Apply to as many team members as required.





Edit/Delete Tasks/Shifts

Once a shift has been completed or tasks have been assigned, administrators can make edits as follows:

  • Select on the task and the Delete option will come up, by selecting this, admins can delete tasks
  • Select on the front or tale of a task to extend or shorten the time of the task
  • Click, drag an drop a task to reassign to another team member or move to an earlier or later time for that day





Roster Quick Tips

  • You can press the task and then the delete key on your keyboard to delete a roster entry.
  • Creating a gap during the day, you can fill out the entire time then use the delete key to create a gap in the roster where they are not working.
  • You can also copy and paste data in from excel spreadsheets directly into Discover as long as you match the format and task names on the spreadsheet entry tab.
