Homebased ECE Census Resubmission

Educators and Visiting Teachers / Coordinator Hours need to be submitted through the ECE Census. Homebased Services typically are not required to add Educators to the Roster but to submit the Census Data we must add them in. 

To simplify the process, when submitting the ECE Census, there is an option on the screen to create a roster with Educator Data. To be successful, the roster for the week of the ECE Census Submission needs to be empty.

1. For the ECE Census week, if the Roster already has Visiting Teachers / Coordinator added to them, make a note of the hours, and then remove the Staff.  You can run the Reports >> Staff Reports >> Weekly Staff Roster Details to keep a note.

 

2. Navigate to Ministry > ECE Return click on resubmit return and then scroll down the page to the blue message panel. Click on the ‘Create Rosters from Enrolments’.

Check the roster for the week of the Census. If you have any Visiting Teachers noted earlier, those hours need to be added back to the Roster.

If the Roster already has the Educator Hours and if the Census report has already picked them then you can continue below.

3. Go through each Staff one at a time and click on the Staff Member mentioned on the ECE Return Window and Click Save again. For staff members where their Contact Hours are picked, click on the Reviewed Check Box and then click Save.

Considerations

  • Homebased Coordinator has an EC12 certificate but the Is Registered says No. In the above scenario please make the change on the Staff Profile and then do a resubmit.

  • Homebased Coordinator has an EC12 certificate but the Is Registered says Yes but does not have a valid certificate under Teacher Certification Tab. In this case, please add a certificate to the Staff Profile.
