Milestone 2.2 - Mastering Profiles Part 2 Whānau Profiles

If you have had a migration your child profiles will already be in Discover. If there is data missing this will need to be added by the service. Depending on the original software, depends on the quality and quantity of data that can be imported to Discover.


Brand New Families

If you have set up your digital Enrolment Form, Parents can fill out the Enrolment Form online and the Child and Parent Information will all be populated for you. 

Once the parent has submitted the Enrolment Form, the only step you need to do is create the child's Enrolment / Booking / Timetable.

OR you can add them manually from your existing Paper Enrolment Form.


Manually Creating a Brand New Child

Go to the Children Menu, and click 'Create New'

Keep in mind the below scenarios:

  • Search for the child using the search bar, including all filters so that you don't create a duplicate if the child has been here or enquired before.
  • If the child is a sibling of an existing child, navigate to the Sibling and click Create New Child to create the second child. This ensures that the that new child will have all contacts automatically linked. For further guidance on Siblings, please see our article here.

If the above is not applicable, navigate to Children, then click the Create New button at the bottom of the list. Here, you can begin filling out the child's information.


  1. Enter all important information in the fields as required.*
  2. Under the Centre Details section, click 'Search NSN' and select the correct child per MOE records.
  3. Enter the Start Date for the child, but do not enter a Leaving Date unless you have confirmed this with the family.
  4. Click 'Create'.
  5. Enter the relevant information in the Health tab that appears at the top of the child profile, then click 'Save'.
  6. If the child will be receiving WINZ Payments please see here for how to set this up on the Child Profile.

    *Any mandatory information that is not entered will be highlighted in red when clicking 'Create'. This information will need to be entered in order to create the child profile.

Please note: Child records can be created without confirming an NSN number, however without this number, any enrolments created for the child will not show on the attendance screen.


Create a Record for an Unborn Child

In the case where a family has approached your centre to enrol a child that has not been born yet, please follow the steps below:

  1. If the unborn child is a sibling of an existing child, navigate to the child currently enrolled > Siblings tab and click Create New. This will ensure all the contacts automatically linked. 

  2. If the child has no siblings currently at the centre, you can create a child by clicking Children > Create New and fill out the key child details as above to create the child. You can set the first name as "Baby" and we recommend using the family's surname. 
    Enter a placeholder (estimated date) for a birth date. 
    These details can be edited as needed after the child is born. 


Once the Child Profile has been saved into Discover, there will be fields across the bottom:


  • Delete Child Profile. Please note: this cannot be reversed and should only be used in the case that a duplicate profile has been created. Never delete a profile that has bookings against it or money.
  • Download the Enrolment Agreement Form which will hold all data as displayed in Discover. 
  • Child Profile Report.
  • Blank Enrolment Form. This will generate a blank form for families to complete.
  • Centre Funding. This is a quick link to the Centre Funding Report for this child.



You will then to need to add in further information about this Child's Profile:

Contacts Tab

To Create a new Contact Click on Add Contact and fill out all the information required and then click on 'Create' 

** If this is for a Playcentre - at the bottom of the profile you can select Parent is also an Educator. 

(This will then create the Contact/Parent as a Staff/Educator at the same time)




If the new contact for this child already exists on another account in Discover, click on Add Existing Contact
You can begin typing the contact name into the box and their name will appear

Select the relationship to the child

Tick the permissions required
Click on 'Add'


If the child's Invoice is being paid by Oranga Tamariki or another Government Department see here or receiving Targeted or Equity Funding see here

Then you can go to the Health Tab and enter the Child's Health Information & tick their

Printing Enrolment Forms & Attestations 

To print the Child's Individual Enrolment Forms, with pre filled data:
Go to the Children Menu > Click on the Child's Name > Scroll all the way to the bottom > Click on Enrolment Agreement Form > At the Top of the pop up, Click on 'Print'. 


Parents can then fill out any missing information, and return them signed for you.


For any future Enrolment/Booking/Timetable Changes, you will need to print out Attestations forms and get those signed by the Parents.


Make all the changes required for future bookings, then go to the Reports Screen > Children Reports > Children Attestations > and you can print them all in bulk for in between the dates you select.
