Managing Casual / Extra / Make Up Days

The Ministry of Education's definition of a "casual" enrolment, an enrolment whereby the child may be enrolled on the basis that they only get funding if they attend, is different to the casual day we will be referring to in this guide.

You can set up a Casual Enrolment by selecting 'Casual' on the funding/enrolment type on the child's enrolment screen.

To find out more about casual and conditional enrolments as defined by the MOE, please see their guide here.

Changing Days

To add or remove an extra day, you should:

  1. Go to the Child > Enrolment > Edit Week
  2. Use the arrow buttons to scroll back and forth through the dates as necessary
  3. Add in the extra day, and click Save

Discover will alter the enrolment just for the week you have changed.  We recommend printing the attestation form using the print icon next to the enrolment for the parent to sign, and also print the next week to get the parent to sign they are changing the enrolment back to the original.

Make Up Days

If you offer make-up days where the child didn't attend on the booked day but you have agreed to let them attend another day, the MOE specifies that you cannot claim funding for both days.

You have two options for processing these in Discover:

  1. The week can be edited by moving one day to another, thus preventing funding on one day and claiming it on the other.
    OR
  2. You can edit the week, leaving the original day as booked, then use the Attendance screen to make the original day unfunded.

The MOE has advised Discover that attestation for the make-up day is not necessary, however we recommend having these recorded for your own record keeping and auditing purposes.
You can print this using the print icon next to the enrolment for the parent to sign, and also print the next week to get the parent to sign they are changing the enrolment back to the original.
