TABLE OF CONTENTS
Once children have been input into the Discover system, administrators will be able to view their profile and update if/when required.
By navigating to the Children tab, administrators will select a child and land on their profile.
Child Tab
The child tab will hold:
- General enrolment information for the child
- Permissions settings (per Child Fields in Centre Settings)
- Input Holding Deposits/Bond received/returned
- Schedule Transitions within the centre
- Input relevant WINZ or WINZ ELP data
- Enrolment details
- Waitlist confirmations
From this screen, administrators will be able to additionally:
- Delete Child Profile. Please note: this cannot be reversed and should only be used in the case that a duplicate profile has been created. Never delete a profile that has bookings against it or money.
- Download the Enrolment Agreement Form which will hold all data as displayed in Discover.
- Child Profile Report.
- Blank Enrolment Form. This will generate a blank form for families to complete.
- Centre Funding. This is a quick link to the Centre Funding Report for this child.
Account
This screen offers admins the ability to view communications with the Bill Payer/s.
Administrators will be able to:
- Create a manual invoice
- Record a payment
- Show Statement
- Create a refund
- Change the Bill Payer
- View Tax Receipts
- Rematch Transactions
- Realign Invoices
- Create Credit Notes
- Show Reversed Transactions
- Display Contact Notes
- Create a Payment Plan
- Show Payments Plan Statements
Contacts
Through this tab, administrators will be able to view the contacts attached to the child's account. This screen will show any parent/guardians along with emergency contact persons.
By selecting a contacts name, administrators will be directed to view their details profile. In this view they can add/edit/delete the profile as required.
Health
From within the Health tab, administrators will be able to view/add/edit the health information for the child. They can update the immunisation record accordingly through this screen and update any medical requirements as required.
Allergies: Filters through to Playground
Absence Exemptions: Interacts with the Frequent Absence Report
Enrolments
Within this screen, administrators will be able to view a quick summary or any active and historic enrolment information.
Admins will be able to Press on any enrolment to view more information. They will also be able to:
- Change Enrolled times
- Change Enrolled times and resume
- Edit Week
- Change Enrolled Room
- Set/Change Leaving
- View the Training Video

About
This area can be used as an 'All About Me' record with the details of the child held in this section.
Calendar
Within this screen, admins will be able to view a year summary of the:
- Annual Holiday Allocation (centre or MOS determined)
- Discounted Days Booked
- Discount Days of entitlement remaining
- Total Holidays Booked
Admins will be able to generate attendance report for the child who's profile they are viewing.
Holidays, Absences and Discounts may also be added through this screen by clicking on a date and entering the relevant information in the pop up box.
Please note: Types 'Booked' and 'Absent' will not deduct from the child's Holiday allocation, but the type 'Holiday' will.
Siblings
If a child has a sibling at the centre, admins can link their accounts by selecting Link Sibling or if this is a new enrolment, they can select Add New and create a new child profile.

Notes
Admins are able to add/Edit/ Delete Notes on the child's account. They can categorise these notes to make it easy to review at a later date.
By selecting Create New the admins will be able to include:
- A title
- The note details
- Set a reminder date (the reminder will appear in Child Alerts on the Dashboard)
- Assign a category
- Attach any PDF's for additional information or evidence
Marketing
Centres are able to record how they gained this child's enrolment through the Marketing tab. Marketing tab enables admins to input the following information:
- Enquiry source
- Enquiry status
- Referred by
- Leaving Date
- Tour Date & Time
- Comments
- Desired Start Date
- Days Wanted
- Up to how many days childcare do you need
Audit Log
From within this screen, administrators will be able to view and audit log of any updates/edits/ changes made on an individuals profile.
