Children: Create New Child Profile

The focus of this guide will be on manually creating child profiles in Discover. To create a child record based of an enrolment or waitlist enquiry, please see this section here.

Create a Record

Before manually creating a new child record:

  • Search for the child using the search bar, including all filters so that you don't create a duplicate if the child has been here or enquired before.
  • If the child is a sibling of an existing child, navigate to the Sibling and click Create New Child to create the second child. This ensures that the that new child will have all contacts automatically linked. For further guidance on Siblings, please see our article here.

If the above is not applicable, navigate to Children, then click the Create New button at the bottom of the list. Here, you can begin filling out the child's information.




  1. Enter all important information in the fields as required.*
  2. Under the Centre Details section, click 'Search NSN' and select the correct child per MOE records.
  3. Enter the Start Date for the child, but do not enter a Leaving Date unless you have confirmed this with the family.
  4. Click 'Create'.
  5. Enter the relevant information in the Health tab that appears at the top of the child profile, then click 'Save'.

*Any mandatory information that is not entered will be highlighted in red when clicking 'Create'. This information will need to be entered in order to create the child profile.

Please note: Child records can be created without confirming an NSN number, however without this number, any enrolments created for the child will not show on the attendance screen.


 

Create a Record for an Unborn Child

In the case where a family has approached your centre to enrol a child that has not been born yet, please follow the steps below:


  1. If the unborn child is a sibling of an existing child, navigate to the child currently enrolled > Siblings tab and click Create New. This will ensure all the contacts automatically linked. 

  2. If the child has no siblings currently at the centre, you can create a child by clicking Children > Create New and fill out the key child details as above to create the child. You can set the first name as "Baby" and we recommend using the family's surname. 
    Enter a placeholder (estimated date) for a birth date. 
    These details can be edited as needed after the child is born.
