Payments


  • Payments will now be sent every morning at 5 am. Apologies for any confusion surrounding payment processing. We were originally informed by Debit Success that their billing starts at 11 am. Thus, we set the schedule to send through payments at 9 am. Debit Success recently informed us that they have a cutoff time of 9 am for payments to be sent through, hence all payments we sent them were being processed the following day. This has been resolved, and payments will now be sent at 5 am to ensure they are processed correctly.  

  • We have added a Scheduled Payments overview for customers using Xplor Pay by Debit Success. This will give administrators more visibility and control over the upcoming payments for the current week.  In addition to making it easier to cancel single or multiple payments from being sent, the table will display the following for each bill payer:
    • Amount owing, which updates automatically if there are different adjustments to the account.
    • Amount billed, which will be the amount sent through to be processed.
    • Schedule status and payment status.
    • Historical data, so administrators will be able to quickly see which payments from the previous week failed on one page without having to run the Direct Debits Report.



Child Profiles

  • The Leaving Reason on the child profile is now required if the Leaving Date is populated. This helps capture that critical piece of information centres can use to improve their services. 

Fees

  • To help with the upcoming changes to 20 Hours ECE being available for two-year-olds from 1 March 2024, we’ve added a Clone button to fees, which will pre-fill all data from the original fee but allow editing of any fields. This will allow administrators to replicate the fee they’re currently using for three-year-olds but change the Age From (months) field (to 24) and the Date From field (to 01/03/2024) to help in the smooth transition for new or existing bookings for eligible children.

   

Reports

  • We have removed the Ministry Guidelines, Explanation and Additional Tips sections from the print version of the Attestation Form, which is accessed via the Frequent Absence report.
  • We’ve added a Location Cost code to Centres that are part of Groups. This will allow larger groups to report on data with their own custom code assigned to their centres. If turned on, it will also appear under Centre Settings, and the column will appear in the Group Management Settings table.
