Payroll

  • We have released the initial steps of our integration to Xero Payroll. There is a special article here, that explains the initial setup required for services that wish to push data to Xero for Payroll.

This current release allows administrators with Full HR access to select the Xero Payroll Calendar and then the Xero Timesheet and Staff Member to which they want to push roster information. From there, Discover will load all Xero Contacts associated with the selected Timesheet and review the hours worked for that Timesheet period. If any changes are needed, administrators can correct the data on the roster and reload the Timesheet to review the information.

Note that for the first iteration of this feature, staff will need to have their Xero Contact GUID pasted in Discover under their Payroll ID and map any Discover Roster Activities with their corresponding EarningsRateID GUID (the identifier for items such as “Ordinary Hours”, “Salary”, “Overtime 1.5” etc.). The instructions on how to do that are inside the article linked above.

  • The Workday Payroll export has been adjusted to include the Department field under Staff > Payroll Information and specific unpaid leave roster activities. If Roster Activities have one of the two conditions met, they will be included in the export:
    • Is Leave + Is Absent.

    • Is Leave + Is Sick

Security

  • We’ve started making changes to the security around Centre PINs and Parent/Caregiver PINs. More communication will follow as the work progresses. In this release, we have adjusted the Centre PIN field to detect if there is a common PIN and alert the user with a highlight around the field. We’ve also added a “Suggest” button, similar to Parent/Caregiver PINs, to ensure the PIN is unique per centre. Attempting to save any Centre Settings if the common PIN hasn’t been changed will prevent other settings from being saved.

Once you’ve set a new pin, please reset your tablet by entering 0000 and entering the details in the Setup Tablet section under Centre Setup.

Ministry

  • The Privacy Statement section has been moved to match the Ministry of Education’s example enrolment form. Wording for Emergency Contacts has also been updated to be compliant. The Optional Charges section has been moved to after the ECE attestation.

  • Teacher-led Te Kōhanga Reo centres have had their funding rates updated until March 2024.

Payments

  • Services using Xplor Pay by Debit Success will now show children starting in the future if the linked bill payer has direct debit enabled in the Active Billpayers tab under Integrations.

Bug Fixes

  • Additional validation has been added to the enrolment widget to ensure the address under Child Details and the Mobile and Email for Parents/Guardians are required fields.

  • Children who are inactive and unlinked from a contact will no longer show bookings or send immunisation reminders to contacts.

  • The Daily Food Chart will no longer print an extra page.

  • Child Contacts with an inactive status will no longer receive emails or have access to information in the Home app.

  • Some invoices were generated for the wrong week. A fix has been put in place to prevent this from happening again.

  • Some centres using Playground have mentioned that the “Authorisations” badge isn’t enough to highlight Discover’s “Forbidden Contacts”. We’ve added [Forbidden Contact] to the front of the relationship so it’s clearer to Playground users which contacts should not be contacted.
