Families are saying Family Boost Calculations are incorrect

How to troubleshoot:

Ask the Family why they think the Family Boost Statement is incorrect.


Most common answers:


Parent: "The total amount of payments I made for the quarter are higher than this"

Solution: The Family Boost Statement is not made up of the total payments a family has made throughout the quarter. It is a total calculation of the invoices generated throughout the quarter. Payments made by the family are EXCLUDED from the Family Boost Calculations.


Parent: "The amount on the Family Boost Statement is Incorrect." It is not as much as last quarter.

Solution: Invoices, credits and discounts are included in the Quarterly Statement based on the 'Issued Date'. Not the Care Dates for the Quarter. Payments made by the family are EXCLUDED from the Family Boost Calculations.






To assure them the Statement is correct

Navigate to the Billpayer Tab

Select the Notes Tab

Under Attachments Select the Quarterly Statement

This will download the parents Quarterly Statement to your computer


Now go to the Transaction Tab

Highlight the Transactions Generated from the start of the quarter -> to the end of the quarter.
Copy and Paste into Excel

Examples

  • Invoice for Enrolment Fees was created on 31st of Dec 2025.
    This will have been included in the Previous Quarterly Statement.

Remove the Invoice from the 31st of December off the list you have in Excel
Remove all Bank Deposits

Remove the Credit Note

Remove any invoices generated after the last day of the Quarter.


Now you have a list of Invoices generated from the 1st of Jan 2026 - 31st March 2026


  • The 5th Column along is the Debt Column. This is how much the invoices are each time they are generated.
  • Highlight all the Invoiced Amounts in Excel and select Auto Sum
  • This number should match the Quarterly Statement.
  • Provide this to the family so it shows them there is no issue.
  • In this scenario, on the original excel, there are invoices for March that were run in April. These invoices will be included on the future Quarterly Statement.
    Remember: It includes invoices from the date generated. Not based off of care dates or parent payments.
